HQ Open Day in support of Macmillan

We will be participating and supporting the Macmillan Coffee Morning event on the 26th September 2019 from 10am onwards. Sections and individuals are invited to ride in and visit Allen House, meet the staff and tour the building, archive and library. You will have an opportunity to buy homemade cakes, have a cup of tea or coffee and enter a quiz and raffle, in support of this worthy cause.

Calendar of Events Booklet 2020

A gentle reminder that the closing date for the Calendar of Events booklet is approaching.

The book will be compiled by taking all the information kindly inputted by the section secretaries and event co-ordinators into the events portal by the 15th November 2019. Please could you try to input as much event information as possible for the 2019 riding season by this date. These booklets will then be produced and sent to sections to be distributed to members in January.

The printed Calendar of Events has been a feature of the Club for a great many years. Until recently each member was provided with a copy in the January edition of the Journal, but as the online version of the Calendar became more and more widely used both by Sections and individual members, it was decided to stop producing a printed version. Part of the reason for this is that a once-a-year printed booklet, produced on the basis of the information

available in the November of the preceding year, this was incomplete from the outset and increasingly inaccurate in detail as the year went on. This was because although dates might have been set for runs that far in advance, start locations and organiser contact details often had not been settled by the publication deadline. Equally, a paper version of the Calendar cannot be updated as runs are cancelled, extra runs added, dates are changed, and so on.

At the time the Club underestimated the continuing demand for a printed Calendar from those members who cannot or who would prefer not to use the online version. It was thus reinstated after a gap of one year, but with distribution of a far smaller print run than previous years and the distribution being arranged through Sections. Recent practice has been for Section Secretaries to be sent 25 copies to distribute, with the option of requesting more if needed.

Some Section Secretaries have advised that they need far more than 25, with others saying that they can only give away a handful. On this basis, Section Secretaries are asked to carefully consider how many copies they could give to people who would genuinely find them useful, and email Michelle at events@vmcc.net with an order, even if this is “none”.

It is also being suggested that distribution of the printed Calendar only through Sections misses out perhaps its most important target group of all – riders who do not use computers and who also do not regularly attend Section meetings. On this basis, the Journal will also carry an advert for the printed Calendar, informing individual members that a phone call or email to Allen House will secure them a copy to be sent out by post.

Finally, please will all Section Secretaries see it as an important high priority to submit details of next year’s runs insofar as these may have been decided by the November deadline. Whilst it is accepted that many people now prefer to use the online version that can be kept up to date throughout the year, so long as a demand and need for a printed version remains, we have a duty to ensure that it is as complete as possible.

General Meetings and Board Elections

As a date for the diary, the next Annual General Meeting will be held at the National Motorcycle Museum on Sunday 8th March 2020.

In addition to this, the Board has decided to call a General Meeting of the Club on Sunday 27th October, again at the National Motorcycle Museum.

Section Secretaries are asked to inform their members of this and of the reasons why this meeting is being held, and to encourage attendance.

Many members were concerned by the resignations of three Board Members in June, and have wondered what is going on. The remaining Board Members share that concern, but have also taken a wider view and noted the extent of the turnover in Board membership that has affected the Club over the past few years. Against that background, the Board have decided that members should be given the opportunity to discuss what may have been going wrong. At the same time, the Board’s own review has concluded that changes to the size and makeup of the Board could do a great deal to avoid continuing the recent pattern of instability and weak governance. On that basis, the General Meeting in

October will be asked to approve revisions to the Club’s Articles and Byelaws. Full details of the proposed changes will accompany the official Notice calling the meeting, which will be circulated in early October to provide the 21 days’ notice required by law.

It is also intended that the General Meeting should provide members with an opportunity to discuss the future of the Club’s Library and the issue of a possible transfer of the Club’s heritage collections to a

Trust, as outlined in the piece published in the September Journal. No decisions will be taken that day on these matters, but the discussion is expected to be very useful in providing the Board with a feel for members’ views in advance of the AGM.

A major reason for an additional General Meeting to be called in October (the earliest point at which it was practicable to do so after the resignations in the summer) is to enable the changed Articles and Byelaws to be in place before the start of the Board election process that will conclude at the AGM in March. One element of the proposed changes to the Articles is that the Board should increase in size from six to nine. On that basis, although the October and November Journals will contain adverts inviting members to stand for election, these will not specify the number of Board places to be filled because this will depend on the outcome of the General Meeting on 27th October.

Heritage Weekend 250th Anniversary of the Coventry Canal

On the weekend of the 14th and 15th of September the Canal and River Trust are planning another joint event in Coventry Canal Basin for Heritage Week and to celebrate the 250th anniversary of the Coventry canal. The event will have a historic feel and focus on Coventry’s history with transport and music. They would like a display of Vintage, especially those made in Coventry. The event runs from 10am until 4pm (weather permitting). If you would like to attend or ride in as a group, please contact Nick Cleaver, Community Engagement Coordinator. Nick.Cleaver@canalrivertrust.org.uk Tel: 07920 233009

Sunday Scramble at Bicester Heritage

The end of season Sunday Scramble at Bicester Heritage on the 6th of October will feature Vintage and Classic Motorcycles and the Heritage Centre would love members to get involved. They would like to invite members arriving on a club appropriate motorbike to take advantage of discounted tickets and covered parking within the exhibition hangar.

The event is held at the former WW2 RAF Bomber Training Station in Bicester. These open days three times a year give the public the opportunity to see inside the workshops and showrooms of the specialist businesses housed in the beautifully restored historic buildings. It is also a chance to get together with thousands of other historic vehicle enthusiasts and see the fantastic variety of vehicles attending.

The Motorcycle discounted adult ticket is £5.82 per person (including the booking fee), tickets are available online with the use of a discount code until the 5th of October (subject to availability). Your club specific code is VMCC1019C please see below instructions on how to apply the code.

Click on the ‘Enter Promo Code’ link at the top of the ‘Tickets’ block on the booking page and input your club booking code VMCC1019C The ‘Motorcycle discounted adult’ ticket option will then become visible at the top of the list of tickets. The Banbury Autojumble is steadily filling up, but there are still pitches available for those wishing to sell their wares, or clearing out the garage to make room for other projects. Contact Michelle events@vmcc.net for an application form.

Please note that this year’s Banbury sees most of the major works on the site completed which allows spectator parking to move from the JLR parking area to within the Museum grounds. Spectator parking this year will only be a short walk from the Autojumble area in a new parking area at the side of the new museum building. This removes the requirement for a shuttle bus, and will also avoid the uphill walk along the spine road.

The main competitor parking which previously has been at the top of the spine road also moves to the rear of the bike assembly area where there is ample parking for 450 competitors, while a further 50 competitor vehicles can be parked at the rear of the museum as in previous years.
